To Assist in Purchase Requisitions supplies and admin activities.

Direct report to Admin Procurement Officer and assisting with procurement, working with vendors, support in all aspects of admin activities. 


  • Assist Admin Procurement Officer to query all Purchase Requisitions in procurement Department so as to ensure all purchases are delivered accordingly.
  • Assist in Follow up on all activities to ensure things are well coordinated.
  • Handle and update Vendor database, Registration List and Approved Vendor List (AVL) for easy reference and as per requirements.
  • Prepare monthly reports and cost control reports when necessary for management decision making.
  • Update purchase prices in the excel database when necessary for easy reference.
  • Prepare Recommended Bidder List and Request for Quotation to comply with procurement procedure.
  • Assist in coordinate with engineering/ end-user for technical evaluation to meet project requirement when necessary.
  • Prepare commercial evaluation/ bids comparison recommendation and negotiate for best delivery and pricing for the project/ company.
  • Prepare purchase order base on commercially and technically acceptable bidder in line with agreed purchase order terms and conditions.
  • Follow up on all activities subsequent to the placement of purchase order including but not limited to clarification, expediting, forwarding, delivery and verifying payment in order to meet the project requirements.
  • Co-ordinate with Branch Staffs and arrange the procurement process for Branch Fixed Assets.
  • Support relevant departments with quotation for the purpose of bulk purchasing for cost optimization.
  • On Site Inspection of Admin Support and Frequent travel to Branch office locations.
  • Other tasks as assigned by the supervisor.

  • Bachelor’s degree and other relevant diploma
  • At least one year professional working experience, in development sector preferred
  • Professional working experience with international organizations preferable
  • Proven team working ability
  • Strong communications skill, including proficient English language ability
  • Computer proficiency in word processing and spreadsheets
  • Ability and willingness to frequently travel within the country.
