JOB DESCRIPTION
MAIN RESPONSIBILITIES 1. Office Leasing § Supporting to find office locations that meet the company needs such as location, size, amenities and price and processing for office leasing agreements and payments. § Negotiate with landlord for lease terms, renewal options, and tenant improvements. § Ensure all lease agreements comply with legal requirements and company policies. § Monitoring lease expiration dates and initiate renewal or termination discussions in advance. § Ensuring lease contracts are registered and filed with the company standard and support for retrieval if necessary. § Support with setup of new branch offices according to the specifications. 2. Office Maintenance & Branch Support § Conduct regular inspections of office facilities, electrical systems, and overall cleanliness, to identify and address maintenance issues. § Coordinate with external vendors and contractors to manage repairs, preventive maintenance, and any other facility-maintenance services. § Ensure compliance with safety standards, including fire safety, emergency exits, and general workplace safety standards. § Conduct regular visits to branch offices to assess their maintenance needs, deliver supplies, and provide hands-on support as required. § Serve as the primary point of contract for branch offices regarding maintenance issues, providing prompt assistance and ensuring issues are resolved efficiently. 3. Fleet Management § Supporting for vehicle leasing for head office and branches which include negotiation with the owners, contract preparation, and payment process. § Monitoring Lease expiration dates and imitate renewal or termination discussions in advance. § Ensuring lease contracts are registered and filed, and provide if necessary. 4. Others § Support for other administrative matters of the company. § Supervising the office assistant, cleaner and Guards. § Perform other duties assigned by the line manager. |
PERSON SPECIFICATIONS
§ A bachelor degree from the university § At least 2 years Experiences in related fields; § Supervising and supporting a team; § Knowledge of administration, control and procurement; § Computer skills, including word processing, spreadsheet to prepare tracking of procurement and assets § Verbal and written communications in English including listening skill § Ability and willingness to frequently travel within the country |
