JOB PROFILE 

Job Title : Receptionist
Location : Head Office, Yangon (but with frequent visits to the branches)

Reports to : Admin Facilities Officer
JOB PURPOSE

Responsible for greeting clients and visitors to our office. You will be in charge of giving clients directions to various parts of the office, contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail.

Direct report to Admin Facilities Officer and to ensure that all administrative facilities tasks for the department are completed.

JOB DESCRIPTION

  • Greet clients and visitors with a positive, helpful attitude.
  • Assisting clients in finding their way around the office and answering phone calls with clients for querying products & services and forwarding and screening phone calls.
  • Answering phones in a professional manner, and routing calls as necessary.
  • Organize and schedule meetings room booking and appointments.
  • Arrange for Couriers and dispatch of outgoing letters and collection parcels/letters from bus terminal and delivery services
  • Manage postage files daily incoming and outgoing correspondence
  • Provide Logistics and travel arrangements, such as bookings, cars, and arranging hotel accommodation and assisting in reservation for events if needed.
  • Assist in ticketing, hotel arrangement and travel arrangements (by car), including travel bookings and ticketing, and travel authorization
  • Provide Meeting Venue and catering Servicing for workshop, meeting and training agenda.
  • Assist in payment process (delivery services, cleaning services, security services and etc.)
  • Coordinate with Admin Procurement activities, logistic activities and all department regarding DAWN microfinance related activities
  • Performing ad-hoc administrative duties.
  • Provide excellent customer service.
  • Scheduling appointments.
  • Other tasks as assigned by the supervisor
PERSON SPECIFICATIONS

  • Associate’s or bachelor’s degree in a related field.
  • 3 years’ experience as a receptionist or in a related field.
  • Consistent, professional dress, and manner.
  • Excellent written and verbal communication skills.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Good time management skills.
  • Experience with administrative and clerical procedures.
  • Able to contribute positively as part of a team, helping out with various tasks as required.
