JOB PROFILE 

Job Title : Human Resources Assistant
Location : Zonal Office, Meiktila

Reports to : Sr. HR Officer
JOB PURPOSE

The purpose of this position is to support and carry out human resources functions within DAWN. The candidate will be required to work independently, and build and maintains effective relationships with their own team and colleagues across all departments.

JOB DESCRIPTION 

Compensation and Benefits

  • Prepare employment contract and share it with new employees, collect a signed signature on their first day with DAWN
  • Collect employee’s personal information and update in staff information matrix on a regular basis
  • Make sure time sheets and leave forms are submitted regularly, update timesheet tracking and leave tracking regularly
  • Submit monthly leave tracking, monthly timesheet submission, and staff update information to Head Office.
  • Assist in updating employee files_ attach documents related to probation confirmation, promotion, recognition, certificates, and policy violations accordingly
  • Assist Sr. HR Officer for Performance Evaluation Process whenever necessary
  • Keep all employee’s personal files systematically and make sure to update information as necessary
  • Prepared payslips and SSB contributions for all branches submit to Finance Assistant and collect all SSB receipt copies and keep a record
  • Perform other duties, as and when requested

Recruitment & Selection

  • Assist in preparing Vacancy Announcement and uploading on Websites and sharing internal and external within 3 working days after receiving approved Personnel Action Form.
  • Maintain and update candidate database in a timely manner.
  • Call shortlisted candidates and arrange for an interview and send invitation to all interview panel.
  • Assist in preparing for orientation, on-boarding, documenting, and other necessary arrangements for successful candidates.
  • Inform Hiring Manager of the arrival of new employees by min. 3 working days in advance.
  • Collect all required documents (CV, NRC copy, Photo, personal information, list of family members, etc.) from new employees.

Admin and Support

  • Share relevant information to Admin Team to produce a Staff ID card.
  • Preparing the Training Contract (GL, IL team) and send to the line manager.
  • Assist in employee relations such as introducing new staff with all departments, facilitating new staff to get HR package for new staff_ required stationeries, ID Batch, handouts for orientation, key chain, pamphlet, welcome photos, and welcome notes
  • Assist in preparing and renewing employment contracts
  • Support to and line managers with orientation, making employment contracts, dealing with labor office processes
  • Organize other ER-related tasks under guidelines as necessary

Policy and Compliance

  • Comply with all relevant policies and procedures with respect to maintaining confidentiality on human resources matters
  • Remain familiar with all labor laws and ensure compliance
  • Communicate and coordinate HR issues with respective area offices required
 PERSON SPECIFICATIONS

  • A Bachelor’s Degree is required. Diploma in HRM is a plus.
  • Able to use Microsoft Word and Excel. The ability to use payroll software is a plus.
  • At least one year’s experience in Human Resource Management is required, preferable with international organizations.
  • Should be keen to detail and willing to do filing work
  • Excellent interpersonal relationship building and communication
  • Excellent computer and Microsoft Office (word, excel, and PowerPoint) skills
  • Basic knowledge of Labor Laws and Social Security Laws
  • Eager to learn and assist all team members when needed
  • Willing to be assigned in DAWN’s working area.
